While in the past, travelers had to manually fill out a paper “entry declaration form” before undergoing immigration inspection, an increasing number of countries are now introducing systems that allow travelers to opt for online alternatives.

Japan is one such country that accepts electronic entry declaration forms, enabling travelers to complete the process online before their arrival. The advantage of submitting an electronic entry declaration is the smoother process compared to handwritten forms. However, it’s worth noting that this is optional, and travelers can still choose to receive a paper entry declaration form and fill it out manually for submission at the immigration inspection counter.

Instead of manually completing entry and customs declaration forms on paper, travelers can save time and easily navigate the process by submitting them online. Preparing the entry declaration and customs declaration online before departure generates a “QR code,” which, when presented during immigration inspection, expedites the process.

Moreover, once registered, travelers can use the system for re-entry to Japan within one and a half years without the need for re-registration. Visit Web Japan is accessible at Narita, Haneda, Kansai, Chubu, Fukuoka, Shin-Chitose, and Naha airports.

“Visit Web Japan Registration Process”

The registration process for Visit Web Japan is straightforward and can be done using either a computer or a smartphone. Here’s what you need:

  • Internet-enabled computer or smartphone
  • Passport
  • Information about the Japan-bound flight, including airline and flight number

The site supports not only Japanese but also English and Korean, allowing users to set their preferred language for convenient registration.

  • Create an Account

Start by creating an account using your preferred email address. After completing the registration by entering your email and password, an authentication email will be sent. Confirm the email to complete the registration.

  • User Registration

Once the account is created, proceed with user registration. Click on “Enter Personal Information” and input the required details. There will be a question about whether to use the “Duty-Free QR Code.” Opting for this allows for a smoother duty-free shopping experience, where the QR code can be presented instead of the passport when making purchases. However, if not selected, duty-free benefits can still be obtained by submitting the passport.

Next, you’ll be asked about your Japanese visa status. If you have a visa, register the visa information; otherwise, choose “None” and proceed.

  • Register Planned Entry Information

Register information about your planned entry, including the arrival and departure dates. As Japan allows visa-free stays for up to 90 days, there’s no need for a visa within this period unless planning an extended stay.

You’ll need to register a Japanese contact, typically the address and phone number of the hotel where you’ve booked your stay.

  • Prepare for Immigration Inspection

This step expedites the immigration process. Select your name and, if there’s no separate visa, press the “Foreigner Entry Record” button. Follow the instructions provided.

Enter your name exactly as it appears in your passport, and fill in other details such as your date of birth and address as per your passport information.

As the purpose of the Japan trip is “sightseeing,” select this option. Enter your flight details and the duration of your stay in Japan.

  • Register Customs Declaration Items

This section involves registering items for customs declaration. If there’s nothing to declare, select “None for All” to complete this part.

Similar to before, input personal details like your passport number, occupation, entry date, and departure date. The screen will also ask about family members accompanying you. If applicable, check the box accordingly.

  • Obtain QR Code

After completing all steps, you can obtain your QR code. Capture a screenshot for convenient access during immigration inspection and customs declaration. Save the QR code on your phone, and you’ll be ready to present it at the respective counters upon arrival in Japan.
